A great opportunity to work across teams with a 3-month period working as a Legal Secretary assisting our busy Litigation and Commercial team.  From there moving into our Patents (ChemBio) team for 13 months in a varied and interesting, hands-on secretarial role assisting our industry leading biotechnology, life sciences and pharmaceutical patent team in our busy Wellington office.

 

Litigation and Commercial:

  • Preparing and filing documents at the High Court, IPONZ and IP Australia
  • Typing documents and correspondence
  • Managing and prioritising all filing deadlines and commitments
  • Completing forms for updating information relating to clients into AJP computer systems and checking these details are correct
  • Preparing of client invoices, including entering time and standard charges for relevant attorneys
  • Reviewing file charges and maintaining up to date billing processes
  • Preparing standard letters for reporting to clients and drafting responses to IPONZ and IP Australia
  • Any other duties as reasonably required 

Patents (Chembio):

  • Team diary and inbox management, prioritising and establishing reminders
  • Creating standard letters and documents for distribution 
  • Creating and filing patent and design applications in New Zealand and overseas and managing the associated deadlines and commitments
  • Preparing letters for reporting to clients and drafting responses to IPONZ and IP Australia
  • Client liaison – taking instructions, arranging meetings and client visits
  • Updating information relating to clients and patent filings into in-house systems
  • Preparing client invoices, including entering time and standard charges
  • Reviewing file charges and maintaining up to date billing processes
  • Other administrative requirements as required

In order to be successful in this role you will have:

  • Demonstrated administrative experience within a high-volume environment
  • Proficiency in desktop applications such as Outlook, Word and Excel
  • Fast and accurate keyboard skills
  • Ability to learn and navigate new systems
  • Exceptional organisational skills including an ability to multi-task, prioritise and meet competing deadlines
  • High level of accuracy and attention to detail
  • The ability to think on your feet and anticipate next steps
  • Excellent verbal and written communication skills
  • The ability to take initiative and accountability
  • The ability to maintain confidentiality
  • Knowledge or exposure to patents would be advantageous although not essential.
