Role type: Litigation Assistant

We are seeking a motivated and experienced individual to join the litigation practice at AJ Park in Auckland. This is a contract role, covering a 12-month period of parental leave.

This is a varied and interesting, hands-on role, supporting our busy litigation practice. Be part of a close-knit and collaborative team, with exposure to some pretty cool subject matter created by some brilliant and creative minds in different industries.

 

The Role

Key responsibilities

  • Typing documents and correspondence.

  • Diarising, acknowledging, preparing and filing documents at the High Court, IPONZ, and IP Australia.

  • Preparing and filing Custom Notices.

  • Preparing correspondence in relation to counterfeit goods.

  • Attending to trust account matters.

  • Managing and prioritising all filing deadlines and commitments.

  • Using the AJ Park in-house software programs. Full training is given on all AJP systems.

  • Preparing standard letters for reporting to clients and drafting responses to IPONZ and IP Australia.

  • Ordering and/or downloading documents from, and liaising with IPONZ or IP Australia.

  • Maintaining an up-to-date contacts list in Outlook (the AJP email package).

  • Taking telephone messages and acting on instructions.

  • Completing forms for updating information relating to clients in AJP computer systems and checking these details are correct.

  • Preparing client invoices, including entering time and standard charges for relevant attorneys.

  • Reviewing file charges and maintaining up-to-date billing processes.

  • Identifing opportunities for continuous improvement.

  • Arranging meetings and clients visits.

  • Maintaining reminder system for upcoming deadlines.

 

In order to be successful in this role you will have:

  • Demonstrated administrative experience within a high-volume environment.

  • Proficiency in desktop applications such as Outlook, Word and Excel.

  • Fast and accurate keyboard skills.

  • Ability to learn and navigate new systems.

  • Exceptional organisational skills, including an ability to multi-task, prioritise and meet competing deadlines.

  • High level of accuracy and attention to detail.

  • The ability to think on your feet and anticipate next steps.

  • Excellent verbal and written communication skills.

  • The ability to take initiative and accountability.

  • The ability to maintain confidentiality.
